Import/export documentation encompasses all the paperwork required to legally and commercially execute a cross-border commodity transaction. Accurate documentation is essential for customs clearance, payment, and title transfer.
Core Documents
The essential documents in a commodity transaction include: Commercial Invoice, Bill of Lading (B/L), Certificate of Origin, Certificate of Quality, Certificate of Quantity, Packing List, and Insurance Certificate. These documents form the document set required for letter of credit presentation.
Bill of Lading
The Bill of Lading serves three functions: it is a receipt for the goods, evidence of the contract of carriage, and, when negotiable, a document of title. A clean B/L indicates the goods were received in apparent good condition. A claused B/L notes discrepancies.
Certificate of Origin
A Certificate of Origin (COO) declares the country in which the goods were produced. It is issued by a chamber of commerce or authorized body and may be required to qualify for preferential tariff treatment under free trade agreements.
Letter of Credit Presentation
When payment is by Documentary Letter of Credit (DLC), the seller presents the document set to their bank for examination against the L/C terms. Any discrepancy, however minor, can delay payment. Meticulous document preparation is therefore essential.
